We are expanding and looking for a new Office Administrator

About the Role

The role of administrator will serve to support course tutors and office staff at Kingstown College. As an essential part of the college structure, you will be required to

  • Respond to all oral, written and digital correspondence
  • Design, create and maintain filing systems
  • Requisition supplies
  • Maintain historical files related to accrediting bodies such as QQI, including qualifications, attendance and course work
  • Provide a professional level of service to all learners and alumni through swift response to queries and follow ups.
  • Be responsible for compliance and procedures relevant to college accreditation with QQI, European Mentoring and Coaching Council and International Coach Federation.
  • Schedule dates for course delivery, in conjunction with tutors and college directors
  • Maintain filing and record keeping system using ACT, Livedrive and Moodle
  • Coordinate diary for College Directors
  • Schedule meetings, prepare agendas and produce well designed documentation.
  • Assist with the marketing function of the college, including updating social media channels, responding to social media enquiries, using email platforms such as Mailchimp.

Knowledge, Skills and Competencies

  • A minimum of 2 years’ experience in office administration, preferably in a training or education setting
  • A good standard of education relevant to the role
  • Strong working knowledge or MS Word, Excel, PowerPoint, Databases and other relevant software or internet based applications relating to education
  • Written and oral fluency in the English language

The following knowledge/skills are preferred

  • A knowledge of business use of LinkedIn, Facebook, Twitter and YouTube
  • Previous experience in developing online training courses
  • Photo editing and graphic design
